Compare contractual commitments with actual delivery, then pass checked items to certification and invoicing.
What can you do in this module?
- 01
Contract items with quantity, net unit price, currency and VAT rate.
- 02
One-off, monthly, quarterly or annual recurrence and automatically generated due performance periods.
- 03
Preserved historical terms: later price changes do not overwrite existing performance records.
- 04
Record actual quantities and prices, with required explanations for differences.
- 05
Line-by-line approval or explained return, followed by printable performance certificates.
- 06
Transfer approved billable customer service work once into a related contract performance period.
Contract lines control settlement
For each line enter quantity, unit, net unit price, currency and tax. Recurrence can be once, monthly, quarterly or yearly. Choose whether invoicing is handled in ContractPilot or externally, whether a performance certificate is required and whether partial performance is allowed.
For existing contracts, the Billed through date helps avoid recreating settled periods. Support lines can include an owner, service commitments and allowance information.
Record actual delivery
A period can be created according to its schedule or manually. Enter the start and end dates, submission deadline, actual quantity and price. Explain deviations. Submit the draft for review; the approver can return it for correction.
What does the certificate preserve?
An approved period can produce a performance certificate. It retains the organisation, partner, contract and line details as they were at creation. A later address change does not rewrite an earlier certificate. Print it or use it as a PDF, then continue to an invoice draft.
Availability and operating conditions
Recording, approval and invoicing use separate permissions. Service work must be approved and transferred into an eligible performance period.
Available functions depend on your organisation’s setup and your permissions.
