How do we know if it fits our organisation? During the demonstration, we discuss your tasks and show the related workflows. We clarify the functions, permissions and external connections you need. Can we bring our existing data? Several areas support imports, including partner records from spreadsheets. Available data, formats and validation are discussed for each work area. Can we use it alongside our existing systems? Yes. Documented connections help link email, invoicing and signature workflows. Feasibility of custom data transfers needs a separate discussion. Who can access our contracts? Access is controlled through roles and contract-level settings. Search, reports and the AI assistant also respect those permissions. Where can our documents be stored? In the provider’s environment, supported own document storage or a complete own-server installation. With own document storage, metadata and extracted text remain in the application database. What happens during a demo? We discuss your tasks, demonstrate relevant capabilities and go through usage and onboarding requirements. Demo requests lead to the scheduling section of the Contact page. THE COMPLETE PRODUCT GUIDE Want to explore every detail? The complete product guide is still here. What does a delay estimate mean? The system uses similar completed steps to estimate when an active step may finish. It displays the sample size, the middle typical duration and a value representing slower cases, together with the confidence of the estimate. A step may be on schedule, worth watching, likely to be late or already overdue. Limited data is identified as uncertain. The estimate is neither a decision nor an employee ranking; managers can open the underlying cases to examine the reasons. Freshness and permissions The refresh time of prepared totals is visible. If those data are incomplete or outdated, the system calculates from authoritative source records. Neither reports nor forecasts use cases you cannot access. Different filters and permissions can therefore produce different totals. Availability and operating conditions The estimate is based on historical process data, not a guaranteed completion date. Check the period, filters and sample size before interpreting it. Available functions depend on your organisation’s setup and your permissions. INSIDE THE APPLICATION See the interface in use. Your organisation can define required, recommended or prohibited contract terms, such as payment dates, liability limits or service commitments. Versions of the rule set are retained and document checks follow those defined expectations. How should a finding be interpreted? Missing or different clauses are flagged for review, not treated as a legal conclusion. A designated reviewer checks the full context and either requests a document change or explains why the deviation is acceptable. When does an exception need approval? A commercially justified deviation can follow a separate exception request and approval process. This is separate from the organisation’s shared customer service mailbox. Without a usable personal connection, the protected proposal link can be shared manually. Shared mailbox for customer service The organisation’s shared incoming and outgoing mail connects to service cases. Choose SMTP/IMAP, Microsoft 365 or Gmail with the required provider authorisation. Sender and service relationships are checked before assignment; staff review uncertain cases. Configure other providers separately Invoicing can use Számlázz.hu and signing can use DocuSign, each requiring its own setup and checks. A personal iCal link is a calendar subscription, not two-way synchronisation. A public API, general webhooks and Google Drive / SharePoint / OneDrive document storage are not presented as available capabilities. NAV partner data, invoice data and certificate sending A configured organisation NAV connection supports company checks and incoming or outgoing invoice retrieval. Review and save imported data; NAV availability may involve a delay. Sending an incoming invoice performance certificate requires your own active email connection and separate permission. This, personal proposal sending and the organisation’s shared service mailbox serve different tasks. Upload and preserve the sent version In an opportunity’s Proposals section, enter the title, amount, currency, validity and description. Upload a PDF or DOCX file and wait for checks and processing to finish. A revision creates a new version while preserving earlier files. The recipient sees the version fixed at the time of sharing. Uploading another file does not silently replace an already sent proposal. Explain the change in the version note. Delivery and recipient verification A link belongs to a recipient, expires within 90 days and can be revoked. For sensitive proposals, enable a six-digit, single-use code sent to the recipient’s email address. Connect your own Gmail, Microsoft 365 or SMTP mailbox in your account settings. This is your personal outbound connection. Without it, you can copy and send the protected link yourself. Delivery status is visible; an email being opened is not the same as the proposal being viewed. What happens when the customer decides? Acceptance requires a name and explicit confirmation; rejection requires a reason. The time, decision-maker and comment are retained. With multiple recipients, the first final decision stands and the remaining active links are revoked. Another recipient or a manual status change cannot overwrite it. Acceptance marks the opportunity Won. In the documented workflow, rejection creates a follow-up task for the next day. New commercial terms require a new proposal version and decision round. Accepting a proposal is separate from electronically signing the contract. How can you review proposal progress? Sent, viewed, accepted, rejected and expired indicators open searchable lists. Partner records throughout the process First check whether the company or individual already exists. The same partner can be connected to an opportunity, proposal, contract and service case. A contact is the person you discuss that business matter with and may differ from the invoice recipient. Start an opportunity or contract directly from the partner record. Internal references, addresses, tax details, contact information and custom fields help align the record with your organisation’s needs. Import in checked stages After selecting an XLSX or CSV file, map columns to partner fields. Run a trial import, review errors and duplicates, and correct the source before the real import. Contacts and custom fields can also be imported. Search the import history to review results later. Reversal is not unrestricted deletion: records changed or connected to business processes since import are protected. Save legacy XLS spreadsheets as XLSX or CSV first. Check and accept NAV company data With an active, configured NAV connection, use the first eight digits of a Hungarian tax number to retrieve the official company name and registered address. Empty fields can be filled; compare existing differences field by field and choose what to accept or retain. Saving the partner records the change. Partner search also shows addresses. With the required permission, a tax-number search with no match can create a partner from NAV data. Foreign partners and missing connections do not trigger Hungarian NAV retrieval. Partner details preserved on earlier invoices remain unchanged. Supplier ratings Optionally record a supplier rating from zero to one hundred. An empty rating does not mean zero points. What can you do in this module? 01 Start from a registered document in four guided steps. 02 Manage quantities, unit prices, tax and currency by line. 03 Connect multiple quotations, decisions, orders and supplier contracts. Where can procurement start? Start from a request for quotation, an unsolicited supplier quotation or a direct purchase order. Register the starting document first: quotation requests and orders are outgoing records, supplier quotations are incoming records. Files remain in the document register and are linked to the procurement case. The four-step wizard covers the starting point, basic details, document and lines, then access and review. Choose an owner, describe the case and check the summary before saving. What goes into requirement and quotation lines? Enter a description, required quantity and unit. Quotations and orders also need a net unit price and tax rate. A request for quotation may leave the price unknown; this does not mean a zero-priced offer. Connect supplier document lines to the case’s requirement lines. This shows which requirement is covered, in what quantity and at what price. Net, tax and gross totals are calculated from the lines. How does a quotation become an order? Record and compare multiple supplier quotations. Selection requires a reason; expired quotations or quotations that do not cover all requirements cannot be selected. The order is prefilled from the accepted quotation’s lines and currency and must match it as a complete order. After ordering, link an incoming supplier contract belonging to the same partner. Linking preserves the history; it does not sign the contract. Cancellation and reopening retain the reason. Collaboration and procurement reports Share a case with multiple people and access groups. Linked registered documents and contracts still require their own permissions. History shows who created or changed a record and the reason for decisions. The Report centre covers cases, documents, requirements and line items, with permission-controlled Excel export. Find approaching procurement deadlines or review quotations by supplier and currency. Use the list for details, Kanban for status, Gantt for scheduling and dependencies, and the calendar for deadlines. Change a Kanban card through its status selector. Personal and project views reference the same task, so changes apply to the same work. The overview shows progress, overdue tasks, open milestones and each owner’s task count. Task count is not capacity measured in hours. A project cannot be closed while work remains open. Planned and actual work time Add an hour estimate to a task, then record actual work against a day with a work note. A missing estimate does not mean zero planned hours. Project time views and the Report centre help compare plans with actual effort. You can see your own time; viewing or correcting other people’s entries requires separate permissions. What can you do in this module? 01 Record direction, subject, external reference, dates, owner, deadline, priority, confidentiality and tags. 02 Custom registers with automatic numbering and separate incoming, outgoing and internal sequences. 03 Search record details and processed attachment content; filter by direction, status and deadline. 04 Register a reply with prefilled details and links to the original and subsequent replies. 05 Multiple attachments, version history, resumable uploads and permission-controlled downloads. 06 Create deadline tasks and reminders, or automatically start a published workflow assigned to the register. Track incoming and outgoing records Select the register, direction and category, then enter the subject, partner, dates and owner. Records can exist independently: not every letter needs a contract. References follow the configured numbering rules. Attachments can have multiple versions. Search uses recorded details and extracted document text. Linked replies preserve the context of later correspondence. Owner, case file and next action Place the record in a case file and start its approval or processing workflow. Corrections retain their history. The assigned owner receives access needed for the work, without gaining access to every contract. Guided document registration The three-step form covers document details, dates and responsibility, then the file and final review. Both category and document type are required. Going back preserves entered values, and a summary helps check the record before saving. Document import shows recognised text and values in a copyable preview. Review suggested fields and the identified partner; creating a partner requires your decision and appropriate permissions. Text recognition does not replace reviewing the document. Register NAV invoices With a configured NAV connection, search incoming and outgoing invoices and save the selected invoice’s header and lines with its registration. Register instalment invoices separately and connect them to the same contract or case file. Long search periods are divided into smaller intervals. Retrieving invoice data does not automatically provide its PDF. Account allocation and accounting export are separate finance steps. Physical document handover and receipt Record the handover time, sender and recipient. The first sender can default to the current user but can be replaced with the actual sender; subsequent handovers start from the previous custodian. The person recording the event is retained separately. The recipient can confirm receipt. Chronological movement history shows handovers and custody duration where recorded times allow it. These records are also available in the Report centre. Earlier registration dates and repeated references An earlier day or year requires separate permission and a mandatory reason. The selected registration date and actual recording time remain separate, with a retained history. Future registration is not allowed. If another record already uses an external reference, the system warns you and requires explicit confirmation before saving. This distinguishes an intentional repeated reference from an accidental duplicate. Incoming invoice certificates and Outlook messages Create a PDF performance certificate for an incoming invoice registered with detailed data. Check the recipient, add a note and explicitly confirm acceptance of the work. Sending requires your own active email connection and a separate sending permission; a sign-in email address alone is insufficient. After successful sending, the certificate cannot be changed or automatically resent. Attach Outlook MSG files and open a readable message view or download the original, subject to permission. Message HTML does not execute; separate extraction of embedded attachments and automatic recognition from MSG files are not supported. Availability and operating conditions An assigned reference, register and direction cannot be overwritten, preserving record identity. PDF and image text recognition is optional. Which questions can a report answer? Find contracts with open tasks, hours recorded on a project or quotations received from suppliers. Available sources cover sales, contracts, records, finance, customer service, projects and itemised procurement according to your access. Choose the base source first: it determines what one row represents. Add columns, conditions and sorting. The searchable column list can select all currently visible fields together, up to thirty columns. Connected data on a clear relationship map Select available relationships on the map. A contract row can show its partner, related invoice count or summaries of accessible tasks. Each related list is summarised independently, so invoices and tasks do not multiply each other’s figures. For line-level detail, select a detailed base source such as invoice lines. This starts a new report structure. Related-list summaries cover all accessible related records, rather than a separately filtered subset. Money is kept separate by currency, without automatic conversion. Mixed or missing currencies are flagged instead of being added into a misleading related total. Hidden records contribute neither to counts nor sums. Running and reusing a template AND conditions must all match; OR conditions need one alternative. Fill every value in a used AND group; one completed alternative is sufficient in an OR group. An entirely empty search cannot run. A template saves columns, relationships and condition structure, not the actual search values. Enter the period or partner again when running it, so the same structure can answer different business questions. Sharing without expanding data access Share a template with multiple people and active access groups in one save, optionally allowing editing. Sharing can be revoked. Each recipient runs the report with their current permissions, so the same template can return different results for different colleagues. Excel export and protected downloads Export results to a real XLSX file with up to fifty thousand base records. Track the background export status; dates and numbers retain the appropriate Excel types. The private download lasts twenty-four hours and belongs to the requesting user. Access is checked again at download; changed permissions or accessible results require a fresh export. Availability and operating conditions Report permissions do not replace access to source modules and individual records. Sharing grants no additional data access. Warnings and escalation A service line can refine the contract’s default policy. The commitment in effect when the case starts is preserved; later policy edits do not change it retrospectively. Configure warnings, priority changes and reassignment as deadlines approach or pass. Contracts, user accounts and customer service data in the app.contractpilot.hu application are governed by the service’s separate notices and agreements. Legal framework Personal data processing is governed by the EU General Data Protection Regulation (GDPR) and Hungarian Act CXII of 2011 on informational self-determination and freedom of information. GDPR ↗ Browsing, cookies and search The product website uses Google Analytics 4 for audience measurement and MerLogic CookieConsent to manage preferences. Consent decisions and their history are stored in browser local storage. It has no registration, needs assessment or booking system of its own. The Contact page offers Google Calendar scheduling and a link to the external MerLogic needs assessment form. Fonts and images are served from the same website. Search runs in your browser over the public feature descriptions. A search term becomes part of its shareable link and may therefore appear in browser history and, when that link is reopened, in server logs. Search sends no data to an AI service. Website delivery and technical logs To deliver the website, the host receives the network address, request time, requested URL and technical details supplied by the browser. Logging supports operation, troubleshooting and investigating abuse. Its exact scope, legal basis, recipients and retention must match the final hosting configuration. Retention: Pending confirmation of the hosting configuration. Booking a demo with Google Calendar The Contact page embeds MerLogic’s Google Calendar appointment schedule. The appointment schedule loads on the Contact page without a separate permission prompt. When it loads, your browser connects to Google, which receives technical information such as your IP address and browser details. Information requested for a booking is entered in Google’s interface and is used to arrange the demonstration and communicate with you. Google’s own privacy and cookie settings may also apply. Scheduling is handled by Google Calendar; this product website has no separate booking database. Google Privacy Policy ↗ Google Analytics 4 Measurement helps us understand website usage and traffic. Google Consent Mode v2 denies analytics and advertising storage by default. Google Analytics may use analytics cookies after you enable the Analytics category. If you decline, advanced Consent Mode may send cookieless measurement signals to Google. Google Signals and advertising personalisation are disabled. You can change your choice at any time in Cookie settings; analytics cookies are not permitted without valid consent. Google Privacy Policy ↗ Cookie settings and consent MerLogic CookieConsent loads from cookieconsentlicences.merlogic.hu. That server receives the network address, referring website and technical request details. Your decision remains valid in your browser for 365 days; locally stored history can be removed by clearing site data. Use Cookie settings in the footer to change or withdraw consent at any time. Cookie preferences do not control the Google Calendar embed. Open cookie settings MerLogic needs assessment The needs assessment form operates on a separate merlogic.hu page. Its operator processes the information submitted there; review that website’s privacy notice before completing the form. The ContractPilot product website does not collect or store those responses. MerLogic needs assessment ↗ Contact by email An email link opens your email application. If you send a message, its sender address, supplied name, content and attachments are used to handle your enquiry. The operator will specify separate legal bases and retention for pre-contract enquiries and other correspondence in the final notice. Providing data is voluntary, but an email reply requires a return address. Data sharing and external links The product website performs no profiling or automated decision-making. Opening an external link brings you under that provider’s data practices. The website’s own code does not send visitor data to marketing or AI providers. Hosting provider details appear in the Access and data security section below. Google services are also subject to the privacy policy linked above. Operator and contact Provider Gyárfás Tamás Jenő Registered address 1048 Budapest, Lakkozó u. 26. Registration number 53948001 Tax number 69969281-1-41 E-mail tamas@merlogic.hu Clear terms for business use This page explains usage rules. Your accepted agreement and attachments define the ordered service, fees, support and operational responsibilities. Product website privacy notice → 1. Scope and definitions These terms set out the framework for business and organisational use of ContractPilot. The Customer is the business, sole trader or other organisation ordering the service; a User is a person authorised by the Customer to access it. The Provider’s identity and contact details appear on this page. These terms cover the application and related services ordered by the Customer. A separate privacy notice explains personal data processing on the public product website. Consumer subscriptions are not offered. This does not limit individual Users’ mandatory privacy or other rights. 2. Contract formation and document precedence Access is based on an accepted service or licence agreement between the Provider and Customer. These terms form part of that agreement only where the Customer could review and accepted them before contracting. Visiting the website or booking a demonstration does not itself create a paid subscription. Mandatory law prevails, followed by individually negotiated contractual provisions. The data processing agreement governs personal data processing; the SLA governs service commitments. Where the law requires separate notice and express acceptance of a provision materially departing from usual practice or statutory rules, those requirements must be met. 3. Service scope ContractPilot supports management of contracts, documents, registered records, projects, tasks, approvals, customer service cases and related financial information. The agreement defines available modules, user numbers, storage, usage allowances, integrations and additional services. Public feature descriptions provide guidance. Availability can depend on permissions, configuration, hosting and third-party connections. Roadmap items, development ideas and custom solutions demonstrated without a separate accepted offer do not automatically become contractual commitments. 4. Accounts, authority and access A person acting for the Customer must have the necessary authority. The Customer appoints administrators, manages User permissions and updates or revokes access when roles or relationships change. Personal credentials must not be shared. Users must protect passwords, authentication devices and access links and apply required security settings. Suspected unauthorised access must be reported promptly to the Customer’s administrator and the Provider. 5. Licence and intellectual property The Customer receives a non-exclusive right to use ContractPilot for the agreed term and within the agreed scope. This transfers no ownership of software, source code, branding or documentation. Reselling access, offering it as a separate service or operating it for other organisations requires a separate agreement. Copying, modifying, reverse engineering or circumventing protections is permitted only with express authorisation or where mandatory law allows it. Statutory interoperability and other mandatory rights remain unaffected. Rights in custom developments and their delivery are governed by the relevant development agreement. 6. Customer data and uploaded content Rights in Customer data and documents remain with the Customer or original rights holder. The Provider may process them only as necessary to deliver, support and secure the service and meet legal obligations, under the agreement and data processing agreement. Uploading grants no general right to sell or publish that content. The Customer is responsible for the necessary upload and processing permissions, lawful content and accuracy of information it provides. Only necessary data should be submitted. Before processing special-category personal data or other regulated or highly sensitive content, the parties must verify the legal basis and contractual and technical safeguards. 7. Privacy, confidentiality and security For personal data processed for purposes determined by the Customer, the Customer will generally be controller and the Provider acting on its behalf will be processor. Roles must be assessed for each processing activity. The GDPR data processing agreement must address instructions, safeguards, subprocessors, assistance with individual rights, transfers and return or deletion of data. Each party keeps the other’s non-public business and technical information confidential and limits access to persons who need it for performance and are bound by confidentiality. Legally required disclosures remain permitted. The Provider handles and reports personal data breaches under applicable contractual and legal obligations. The product website’s privacy notice does not replace the application’s data processing agreement. 8. Acceptable use Unlawful, deceptive or rights-infringing use, malicious code, unsolicited bulk messaging, bypassing permissions, accessing other organisations’ data and deliberately disrupting the service are prohibited. Security or load testing requires prior written authorisation. Automated access and transfers must use authorised interfaces and comply with contractual allowances and third-party rules. The Provider applies proportionate safeguards, investigates reported abuse and, where possible, limits intervention to the affected operation or access. 9. Approvals and electronic signatures Internal approval, acceptance of a proposal and electronic signing have different legal effects. The Customer determines approval rules, representative authority and the required signature form. A recorded action or approval does not itself guarantee a document’s validity, evidential value or compliance with formal requirements. Third-party signing is also subject to that provider’s terms. The signature level must suit the transaction; using ContractPilot does not automatically provide a qualified electronic signature. Authorised Users must check recipients, permissions and validity of external sharing links. 10. Invoices, reports and business decisions The Customer verifies entered and imported information, currencies, tax rates, delivery details, accounting allocations and document relationships. Authorised Users must perform the necessary checks before invoice issuance, approval, transfer or accounting export. ContractPilot and its reports do not replace legal, tax or accounting advice. Accounting export files support validation and processing in the receiving accounting system. Analytics, predictions and alerts use available information and do not guarantee a business outcome. 11. AI features and human review Features involving external AI processing require appropriate organisational authorisation and settings. Before enabling them, the Customer must review the affected data, provider and processing terms, including any international transfers. Information sent to AI must be limited to what is necessary. AI responses, text recognition and automatically extracted data can be incomplete or incorrect. Results must be checked against the original source, particularly before legal, financial or personal-data decisions. The AI assistant does not represent the Customer; its output is not professional advice or independent contractual approval. Permission to provide the service does not itself authorise use of Customer data to train models. 12. Third-party services and integrations Email, invoicing, signing, storage and other connections may require separate accounts, permissions, licences or charges. The agreement allocates costs and configuration tasks. The Customer supplies permissions for accounts it controls and protects access keys. Each third-party provider governs its own operations, limitations and terms; changes may affect an integration. This does not release the Provider from its own contractual duties. Connections involving new categories of data or materially different processing must not be enabled without the required notice and authorisation. 13. Hosting, Customer infrastructure and backups The parties define who operates the application, database and document storage, installs updates and is responsible for access, backups and recovery. Customer-controlled document storage does not itself mean that all application data is located on Customer infrastructure. The operations agreement defines backup frequency, coverage, retention and recovery commitments. External document storage, server infrastructure and credentials may need separate backups. An available backup feature does not replace an agreed backup policy and regular recovery checks. 14. Support, availability and maintenance The agreement or SLA defines support channels and hours, priorities, response and resolution commitments, availability and any credits. Without an express commitment, there is no universal guarantee of uninterrupted availability or immediate repair for every Customer. Planned maintenance involving material downtime is notified in advance through the agreed channel. Urgent security or incident work may be performed immediately, with notice as soon as practicable. Customers provide information needed to investigate reported issues without unnecessarily disclosing credentials or sensitive information. 15. Fees, payment and evaluation access The accepted offer or agreement defines charges, taxes, currency, billing periods, payment deadlines, usage allowances and any excess usage charges. Renewal and price changes follow accepted contractual rules only; these terms do not themselves impose automatic renewal or price changes. Late payment is governed by the agreement and applicable law. Before restricting access for non-payment, the Provider gives notice and an appropriate opportunity to resolve it. Demonstration or evaluation access is limited to its stated purpose and scope; paid access requires agreement. 16. Restricting access The Provider may restrict affected access to the extent necessary for a substantiated security risk, unlawful use, material breach or binding authority instruction. It informs the Customer of the reason and restoration requirements unless disclosure is prohibited by law or would undermine the intervention. Where there is no immediate threat or mandatory legal action, an appropriate opportunity to remedy the issue must be given. Restriction does not automatically delete data or remove statutory or contractual data-transfer rights. Access must be restored without undue delay once the reason ends. 17. Term and termination The individual agreement governs the term, ordinary termination, renewal and financial settlement. Material breaches may give rise to termination rights under the agreement and law, with prior notice and an appropriate cure period where required. On termination, use rights end as agreed, but agreed data handover, lawful settlement, confidentiality and surviving obligations remain to be performed. Termination does not retrospectively legitimise unauthorised use or extinguish accrued claims. 18. Data handover, switching and deletion The exit agreement specifies all transferable data and digital assets, formats, methods, responsibilities and deletion rules. Handover uses available exports or an agreed technical procedure; automatic compatibility with every other system is not promised. Where EU Data Act switching rules apply, initiation notice is at most two months, transition is normally at most 30 calendar days, and subsequent data retrieval lasts at least 30 calendar days. Permitted exceptions, assistance and charges follow the Regulation. Apart from lawful retention duties, data must be deleted under the agreed policy after handover and retrieval; backup disposal must also be addressed. 19. Liability and mitigation Each party is liable for contractual breaches under applicable law and must take reasonable steps to mitigate losses. Customer verification or security duties do not themselves exclude Provider liability. The system does not guarantee correctness of Customer input or the outcome of Customer business decisions. These terms establish no automatic damages cap or general exclusion of liability. Different limits require a lawful and properly accepted agreement. Liability for intentional breaches or breaches harming human life, physical integrity or health, and any other mandatory liability, cannot be excluded or limited. 20. Changes and notices Material changes affecting a Customer are notified in advance in a demonstrable manner, explaining the change, reason and application. Publishing new wording does not itself retrospectively change existing contracts. Acceptance and any termination rights follow the agreement and applicable law. The parties retain the wording and attachments accepted when contracting and maintain current contact and legal-notice addresses. Contractual notices must use the agreed channel; marketing communications do not replace required legal notices. 21. Complaints and governing law Service or contract complaints may be sent to the Provider’s email on this page. Identifying the Customer, issue and requested resolution helps investigation. The parties first seek direct resolution, without limiting access to authorities or courts. Hungarian law governs, without prejudice to mandatory EU or other applicable law. Court competence and jurisdiction follow legislation or a lawful agreement. If a provision is invalid, the remainder continues where the law permits. The English text supports understanding; the Hungarian text prevails in a conflict unless expressly agreed otherwise."},{"url":"/en/why-contractpilot/","title":"Why ContractPilot?","description":"Compare ContractPilot’s documented focus: sales, procurement, projects, documents and finance in a shared working context.","text":"← Home ContractPilot Why ContractPilot? Connected contracts, documents, project tasks and finance help trace decisions and examine results. 01 Customer service grounded in the contract A case links to the contract, SLA and service relationship. Reviewed work can move into certification and invoicing. 02 Hungarian financial workflow Performance periods, line approvals, certificates, Számlázz.hu invoices and payments are connected. A practical example connects sales, proposals, contract review, approvals, service, delivery and finance. Each stage shows who acts, what they check and what becomes available for the next step. Names, amounts and service settings in this walkthrough are illustrative. Actual permissions, contracts and configured connections determine what you can do. Sales representative Partner and contact Find the partner or create the company and contact. Check billing details and the email address. Review a trial import before accepting it to avoid unnecessary duplicates. Result: a partner record that subsequent opportunities and contracts can reference. Detailed feature guide → Sales representative Sales opportunity and next action Record the need, estimated value and currency, expected decision date, owner and next action. In this example, implementation, monthly licences and support have an expected net value of HUF 6,800,000. This is neither an issued invoice nor received revenue. Result: a trackable sales stage and a dated next action. Detailed feature guide → Sales representative Upload and send a proposal Upload the PDF or DOCX proposal and enter its title, amount, currency, expiry and version note. Check the recipient and link validity before sending. Use your personal outgoing mailbox or share the protected link manually. Email verification codes can be enabled separately. Result: an expiring, revocable link tied to a specific proposal version. Detailed feature guide → Customer and sales representative The customer’s decision The customer reviews the shared version and can accept with their name and explicit confirmation, or reject with a reason. With multiple recipients, the first final decision closes the round. Acceptance marks the opportunity as won; rejection requires a follow-up decision. New content needs a new version and decision round. Check: proposal acceptance is a business decision, not electronic signing of the contract. Detailed feature guide → Sales representative or contract owner Contract draft from the won opportunity Create the contract draft from the won opportunity. Known partner and commercial details are prepared for transfer; check the final title, period, owners and value. The relationship remains bidirectional, so the sales history can be found from the contract. Result: a draft contract with its history preserved. A lost opportunity cannot use this conversion. Detailed feature guide → Contract owner and finance Lines and settlement rules The example has three lines: one-off implementation at net HUF 2,600,000, monthly licences at HUF 300,000 and monthly support at HUF 50,000. Enter quantity, unit, tax, period and performance-certification requirements. The contract’s headline value does not replace the lines used for invoicing. Check: do not bill a period that has already been invoiced. Detailed feature guide → Service owner Service and agreed deadlines Set working days, office hours, response and resolution targets, warnings and escalation for the support line. The commitment is attached when a case starts. Review allowances and extra work against the contract; recording time does not itself issue an invoice. Result: a service case connects to the right contract, line and commitment. Detailed feature guide → Customer, contract owner and legal reviewer Document review and clause checks The customer can respond to the shared document version or submit a new version. Internal notes and approvals remain outside the external view. Review required, prohibited and recommended clauses. Explain exceptions and obtain the appropriate approval; unresolved blocking exceptions prevent signing. Check: automated flags support human review and do not replace legal judgement. Detailed feature guide → Assigned approvers Internal approval Start the published workflow version. Legal, financial and management checks can be assigned to sequential steps with owners and deadlines. Complete the task through its workflow action; marking an ordinary task done does not replace approval. Corrections or a new document version may require another review under the configured rules. Result: a traceable internal decision on the reviewed content. Detailed feature guide → Authorised signers Electronic signing Send the final PDF through the configured DocuSign connection in the chosen signer order. Track status and, on completion, check the signed PDF and returned Certificate of Completion. Further work on the active contract remains linked to this history. Requirement: your own DocuSign account and a configured connection. The described workflow is not qualified electronic signing. Detailed feature guide → Delivery owner and approver Record and approve performance Open the correct period, record actual quantity and explain any difference. In this example, implementation performance is net HUF 2,600,000. The approver can accept it or return it for correction. The certificate preserves the details in effect when it was created. Result: approved performance from which an invoice draft can be prepared and checked. Detailed feature guide → Finance Invoice and received payment Check the draft, then issue it through the configured invoicing connection. The sample net HUF 2,600,000 becomes gross HUF 3,302,000 at 27% VAT. Issuance and receipt of money are separate events: record the actual payment with its date and bank reference. Partial payment leaves a trackable outstanding balance. Check: sample amounts and tax rates illustrate the workflow; they are not a price offer or tax guidance. Detailed feature guide → Owners and managers Follow-up and process analytics Review open actions, outstanding amounts and service status from the overview. Filter process analytics by period, workflow and group, then open the underlying records. Interpret delay estimates together with sample size and uncertainty; sparse history cannot support a reliable conclusion. Result: an understandable, verifiable view of the business lifecycle within your access scope. Detailed feature guide → BUSINESS WORK IN A SHARED CONTEXT Connect purchasing, delivery and results. Alongside contracts, manage supplier decisions, team tasks and reports you can examine. Choose a work area to explore its steps and requirements. From supplier requirements to a traceable order Register the starting quotation request, quotation or purchase order. Record requirement lines, ownership and access. Compare supplier quotations and explain the selection. Prepare the complete order from accepted lines, then link the supplier contract. Recording an order does not automatically send it to the supplier. Detailed guide From project setup to actual effort Choose a leader, team and phases, or start from a project template. Assign tasks and define dependencies and milestones. Track progress in list, Kanban, Gantt or calendar views. Record time and compare it with estimates in the project or a report. Time tracking does not automatically invoice work; capacity and cost planning remain planned extensions. Detailed guide From a business question to a shared report Choose what one row represents, such as a contract or invoice line. Add accessible relationships, columns and conditions. Run the report with current search values and check the result. Save and share the template or request a protected Excel export. Sharing a template preserves the recipient’s data permissions; different currencies are not added without conversion. Detailed guide Availability depends on enabled functions, permissions and configured external connections. During a demonstration, we clarify which capabilities can be used in your environment.
